If you already own a supported phone, its built-in recorder may be enough for personal capture. Apple’s current iPhone guide says Voice Memos can show a live or post-recording transcript on iPhone 12 or later in supported languages and regions. Google Recorder is designed for Pixel devices. Google says the app works on Pixel 3 and later phones and Pixel Tablet. Summaries are available on Pixel 8 and later for specified languages and recording lengths.

Built-in tools are appealing because there is no separate recorder to charge or carry. Meeting transcription apps: best for shared online work

Meeting apps are useful when several people need the same transcript, summary, and action list. Otter documents an AI Notetaker that can join Zoom, Google Meet, and Microsoft Teams, with live transcription, automated summaries, slide capture, channels, comments, highlights, and assigned tasks. Otter currently lists transcription support for English, Spanish, French, German, Japanese, and Simplified Chinese.

Notta combines web, mobile, desktop, and browser-extension workflows. Its official help center lists 58 languages for monolingual transcription, while translation and bilingual features have separate language sets. Notta also supports meeting transcription, imported files, speaker identification, summaries, and exports, with quotas that vary by plan.

An app is often the cleanest choice when the meeting platform is the source of truth and team members need a searchable record. Before enabling automatic joining, confirm that your organization allows meeting assistants, that participants will be notified, and that the platform integration works with the exact account and meeting type you use.

Dedicated AI voice recorders: when capture needs its own device

A dedicated recorder separates audio capture from the phone or computer used for the rest of the meeting. That can reduce workflow interruptions and provide a physical record switch, onboard storage, and longer capture sessions. It does not make transcription automatically offline or private: many devices still send audio to a companion app or cloud service for speech recognition and summaries.

The Pro plan provides 1,200 minutes per month, while the Unlimited plan allows up to 24 hours per day. Recording can continue if transcription minutes run out, but transcription pauses until the quota resets, minutes are added, or the plan changes.

UMEVO Note Plus is another dedicated-hardware workflow. Its current product page lists 64GB of storage, MP3 recording, about 40 hours of recording time, a 30g weight, and support for iOS, Android, Windows, and Linux workflows. Dedicated hardware is worth considering when missing the start of a conversation is a bigger risk than carrying another device. It is less attractive when every recording is already a scheduled online meeting, when your organization prohibits unapproved hardware, or when you do not want another app, account, and charging routine.

Review the transcript before trusting the summary. For routine meetings, spot-check the opening, decisions, action items, and any passage with background noise or overlapping speakers. For publication, formal records, research, legal matters, healthcare, or financial decisions, compare important wording directly with the audio and follow your organization’s professional-review requirements.

Privacy is determined by the full data path, not by whether the microphone is inside a phone or a separate recorder. Check where the original audio is stored, when it uploads, whether backup is enabled, who can open shared links, what integrations receive transcript text, and how deletion works.

Google states that Recorder files stay on a Pixel device and are not synced to a Google Account unless the user enables backup, shares or copies them, saves them elsewhere, or contributes them to improve Recorder. However, some summary languages may require internet access, and the re-transcribe feature may process audio on Google servers. Cloud meeting apps and companion apps have different account, sharing, and retention paths that require their own review.
